Oral Presentations

  • Time Allocation: The regular presentation slot is 20 minutes, comprising a 15-minute presentation followed by a 5-minute question and answer period. Invited presentations have 20-minute presentation time, followed by 5-minutes period for Q&A. Finally, keynote presentations have 35 minutes for presentation and, again, 5 minutes for questions.
  • Equipment Provided: The Session room will be equipped with a projector, computer running MS PowerPoint and Adobe Acrobat Reader, and a laser-pointer/ slide advancer.
  • Arrival: Speakers must arrive in their session room 15 minutes before the session begins to check in with the Session Chair.
  • Aspect Ratio: Projectors are 16:9; presenters are strongly encouraged to format their slides accordingly.
  • Presentation template: no conference template is provided, presenters are free to use their own. Please consider basic good practices, for example: support.microsoft.com/en-us/powerpoint/tips-for-creating-and-delivering-an-effective-presentation
  • Presentation Submission: Presenters are invited to upload their presentation file.
    • The upload link and deadline will be shared by email.
      • Dedicated subdirectories per session have been created, please upload to the correct folder.
      • Please have the filename start with the session/paper number (see conference program). For example, 3.2_<rest_of_name>.pptx for the second paper in session 3.
      • Keynote speakers can base the file/folder name on the session directly following their presentation. For example, 5.keynote_<rest_of_name>.pptx
      • To ensure compatibility, please use .ppt, .pptx, or .pdf format for your presentation.
      • Embedded videos are not guaranteed to play.
      • Use standard Windows fonts to avoid display issues.

Poster Presentations

  • Format: The space allowed for each poster is 6ft (wide) x 4ft (high). This can fit an A0-size poster in either portrait or landscape orientation.*See the visual layout below for an example of how an A0 portrait poster fits on the display board.
  • Mounting: Push pins will be provided in the poster area.
  • Printing and Mounting Responsibility: Authors are responsible for printing and mounting their posters before the session and removing them afterward. Poster boards will be available from the last coffee break before the poster session. The boards will be removed when the poster session and reception ends (~7pm).
  • Poster Board Assignment: Each poster board will be numbered. Refer to the PDF program to find your assigned poster board number.
  • Placement: Place your poster on the corresponding numbered board. Incorrect poster placement may inadvertently result in your work being marked as a no-show and risk exclusion from publication in IEEE Xplore.
  • Pitch: at the beginning of the poster sessions, all authors will have an opportunity to deliver a 1-minute pitch (optionally supported by one powerpoint slide) about their poster. The one-slide presentation must be upload prior to the conference, see instructions below.
  • Poster Submission: Presenters are invited to upload an electronic version of their poster.
    • In addition, presenters may (optionally) upload one slide to support their 1-minute pitch.
    • The upload link and deadline will be shared by email.
      • Please upload to the dedicated poster session folder.
      • Please have the filename(s) start with your poster number (see conference program). For example, P7_poster_<rest_of_name>.pptx and P7_slide_<rest_of_name>.pptx.
    • To ensure compatibility, please use .ppt, .pptx, or .pdf format for your poster and one-slide.
